About the role
The Town Council is seeking a detail‑oriented Administrative Assistant to support its contracts and tender processes. You will work closely with internal teams and external agents to ensure all documentation is accurate, filed, and processed on schedule.
Key responsibilities
- Prepare, compile, and manage tender documents, reports, and forms such as PTR and Tender Register.
- Liaise with advertising agents to arrange tender advertisements.
- Close tenders at the designated date and time, post results, and maintain records.
- Draft and execute contract documents, including Term Contracts SORs for upload into the Works Order System.
- Perform electronic and non‑electronic filing, scan documents, and upload data to the digital file‑sharing platform.
- Monitor and update Re‑roofing and Repair cycles in the Property Data System and assist in yearly budget projections for cyclical works.
- Prepare payment vouchers, claims, and yearly consultant performance assessment reports.
- Carry out other clerical and administrative tasks as required.
Required profile
- NITEC/Diploma holder or equivalent tertiary education (A‑Level or higher).
- Self‑driven, meticulous, and able to work effectively within a team to meet tight deadlines.
