About the role

The role provides comprehensive secretarial and administrative support to the Chief Marketing Officer and the Client Services team within a financial services environment. You will manage documentation, coordinate meetings, and ensure compliance and risk‑management activities are handled efficiently.

Key responsibilities

  • Provide secretarial and administrative support to the Chief Marketing Officer and the Client Services team.
  • Prepare and circulate documents such as IMAs, account profiles, presentation materials, reports and client letters.
  • Draft replies, compile monthly management reports and ad‑hoc client reports.
  • Maintain client data records, filing systems for proposals, presentations, minutes and correspondence.
  • Update the Operations Manual for compliance and respond to regulatory audit requests, including AML/PEP checks.
  • Assist with operational risk management tasks, including risk assessments and scorecards.
  • Coordinate travel arrangements, procurements, post‑trip claims and other business‑related expenses.
  • Print, bind and set up presentations, arrange meeting rooms and support Business Development activities.
  • Undertake additional projects or events as assigned.

Required profile

  • Diploma‑level education.
  • Minimum five years of secretarial experience, preferably within the financial sector.
  • Strong written and spoken communication skills.
  • High level of discretion and ability to handle confidential information.
  • Proactive, reliable and capable of working independently.

Required skills

  • Proficiency with Microsoft Office suite – Word, Excel, PowerPoint and Outlook.
  • Calendar management, scheduling and meeting coordination.
  • Basic finance administration such as processing claims, invoices and purchase requests.
