Admin and Finance Executive

About the role

We are looking for an Admin and Finance Executive to oversee office operations and financial processes across our Singapore locations. The role combines procurement, vendor management, and full‑cycle accounting to ensure smooth, cost‑effective business support.

Key responsibilities

• Manage vendor evaluation, selection, and negotiation to secure cost‑effective terms and mitigate supply risks.
• Automate the procurement cycle from RFQs to purchase orders, eliminating manual bottlenecks.
• Serve as the primary point of contact for day‑to‑day office operations, including office supplies, IT hardware, contract renewals, and facility coordination.
• Maintain physical and digital filing systems, ensuring all administrative documents are securely archived.
• Handle full‑cycle Accounts Payable and Accounts Receivable, assist with bank reconciliations and payroll processing.
• Prepare monthly financial reports and coordinate with external auditors to ensure compliance with accounting standards.
• Leverage AI‑powered tools such as Microsoft Copilot and Xero AI to automate data entry, flag anomalies, and generate cash‑flow forecasts.

Required profile

• Diploma in Accountancy or Business Administration.
• Minimum three years of blended experience in accounting, office administration, or a similar support function.
• Meticulous attention to detail and strong organizational abilities.

Required skills

• Microsoft Excel.
• Accounting software such as Xero or QuickBooks.
• AI‑integrated administrative and financial tools (e.g., Microsoft Copilot, Xero AI).
