About the role
The Executive Secretary provides high‑level administrative support to senior executives of a Japanese company, ensuring smooth daily operations and effective coordination across functions.
Key responsibilities
- Manage executive calendars, arrange meetings and handle comprehensive schedule coordination.
- Organise travel itineraries, visa and immigration processes, and ensure compliance with relevant regulations.
- Provide personal and family assistance to executives as needed.
- Support corporate administrative tasks and liaise with finance teams for budgeting and expense reporting.
- Handle internal and external communications, including correspondence and document preparation.
Required profile
- Business‑level proficiency in both Japanese and English for internal and external communication.
- Strong understanding of Japanese business culture and professional etiquette.
- Bachelor’s degree or diploma in business administration, hospitality, or a related field is a plus.
- At least one year of experience as a Personal Assistant or Executive Assistant is advantageous.
- Practical experience in finance or accounting operations.
- Excellent communication and interpersonal skills for cross‑functional collaboration.
- Ability to analyse business situations using numerical data.
