Executive Secretary, Sales & Marketing

About the role

The Executive Secretary, Sales & Marketing provides high‑level administrative support to the Senior Vice President and Vice Presidents of the Sales & Marketing team. This position acts as the primary liaison between the corporate office, hotel properties, and external partners, ensuring smooth communication and efficient operations.

Key responsibilities

• Manage calendars, schedule meetings, and handle follow‑ups for senior leadership.
• Draft, send, and track communications on behalf of the SVP.
• Prepare expense reports, assist with budget files, and coordinate with Finance.
• Create meeting agendas, take minutes, and produce high‑quality PowerPoint presentations.
• Arrange travel logistics for the Sales & Marketing team.
• Roll out SOPs to properties and maintain communication with property leadership.
• Maintain filing systems and record monthly expenses for the division.
• Support goal‑setting tools, internal approval processes, and retrieve information for summaries.

Required profile

• 3–5 years of experience in a similar administrative role.
• Excellent verbal and written communication skills.
• Strong interpersonal and customer‑service abilities.
• Highly organized with great attention to detail.
• Ability to work independently and adapt to flexible schedules.

Required skills

• Proficiency in Microsoft Office Suite.
• Advanced skills in PowerPoint for creating presentations.
