Procurement Coordinator – Technical (Shipping)

About the role

Neptune Pacific is seeking a Procurement Coordinator with a technical focus on shipping to manage the sourcing of stores, consumables and spares for its owned and operated vessels. The role ensures timely, on‑budget delivery of goods and supports strategic procurement and contract management across the fleet.

Key responsibilities

• Evaluate and process requisitions raised by vessels.
• Manage the RFQ process, compare quotes, negotiate prices, obtain approvals and award purchase orders.
• Expedite critical items and resolve service‑delivery disputes.
• Coordinate with suppliers and port agents to ensure timely delivery of goods to vessels worldwide.
• Communicate with vessel crews to confirm deliveries and return required documentation.
• Match purchase orders, delivery orders and invoices to ensure timely supplier payments and resolve discrepancies.
• Maintain up‑to‑date records and files for quick retrieval.
• Perform supplier qualification audits and support continuous improvement projects.
• Track landed items, service them and arrange timely return in consultation with the superintendent.
• Monitor and analyse vessel consumption versus budget, identifying unusual trends.
• Assist in identifying partner vendors, managing framework agreements and supporting tender processes.

Required profile

• Experience processing vessel requisitions and managing RFQ cycles.
• Ability to negotiate with vendors and secure approvals for purchase orders.
• Strong communication skills for liaising with suppliers, port agents and vessel crews.
• Analytical capability to monitor consumption data and compare against budget allocations.
• Attention to detail in matching documentation and resolving invoice discrepancies.
