Executive Assistant – Team Secretary for Investment Professionals

About the role
We are looking for a highly organized Executive Assistant to support a team of investment professionals in our Singapore office. The role demands meticulous attention to detail, the ability to manage competing priorities, and a high level of confidentiality.
Key responsibilities
- Manage complex calendars for multiple senior staff across global time zones.
- Coordinate domestic and international travel, including visas, accommodations, and detailed itineraries.
- Organise internal meetings, investment committee sessions, board meetings, and investor events, handling venue, catering, and material preparation.
- Screen calls and emails, draft and proofread correspondence, letters, memos, and presentations.
- Process expense reports and reimbursements in line with firm policies.
- Maintain physical and electronic filing systems and support document execution and notarisation.
- Serve as primary liaison between the team and internal departments (HR, IT, Finance, Legal) and external partners.
- Provide backup support to other administrative staff and assist with office supplies and facilities coordination.
Required profile
- Diploma or bachelor's degree in any discipline.
- 5–8 years of secretarial or administrative experience, preferably in investment banking, private equity, asset management, or a top‑tier professional services firm.
- Fluent written and spoken English.
- Strong interpersonal and communication skills with a proactive mindset.
