About the role
We are looking for an organized and detail‑oriented Admin Assistant to support the day‑to‑day operations of our property portfolio. The role involves coordinating maintenance, ensuring regulatory compliance, and providing frontline service to residents and owners.
Key responsibilities
- Coordinate daily maintenance and operational activities across the estate.
- Monitor compliance with building statutes, house rules, and bylaws.
- Conduct regular inspections, recommend repairs, replacements or improvements, and track progress.
- Manage agreements, licences, insurance policies and contractor contracts, ensuring timely renewals.
- Oversee procurement processes for estate‑related purchases.
- Provide customer‑service support to residents and owners, handling inquiries and issues.
- Prepare and attend council and general meetings, follow up on decisions, and compile weekly/monthly performance reports.
- Maintain accurate records, correspondence and documentation.
Required profile
- Minimum O‑Level qualification.
- At least one year of relevant experience in property management.
- Strong problem‑solving ability and attention to safety and compliance.
- Detail‑oriented with excellent organizational skills.
- Ability to prepare detailed reports and presentations.
Required skills
- Experience with property maintenance coordination.
- Familiarity with regulatory compliance in real‑estate contexts.
- Basic procurement and contract management knowledge.
- Record‑keeping and document management.
- Effective customer service communication.
