Senior Executive / Assistant Manager – Grant Administration

About the role

The Institute for Digital Molecular Analytics and Science (IDMxS) is a new interdisciplinary Research Centre of Excellence funded by the Ministry of Education (Singapore), Nanyang Technological University and the National University of Singapore. The Senior Executive / Assistant Manager, Grant Administration supports the effective administration and financial management of research grants at IDMxS, ensuring compliance with funding guidelines, regulatory requirements and reporting deadlines.

Key responsibilities

• Manage the full grant lifecycle, from application submission and award creation to variations and closure.
• Review grant proposals, communicate approved budgets and ensure compliance with funding guidelines.
• Provide financial and grant advisory support to Principal Investigators, researchers and funding agencies.
• Monitor grant budgets, verify expenses, prepare forecasts and reports, and follow up on disbursements.
• Coordinate purchase requisition approvals, finance coding, invoice processing and claims submissions through the ARIBA system.
• Maintain project structures (WBS/PID) and support manpower administration, including funding checks and documentation.
• Provide administrative support to Centre leadership, including meeting coordination, travel arrangements and expense claims.
• Maintain the annual Grant Calls Calendar and prompt PIs ahead of upcoming grant opportunities.

Required profile

• Bachelor’s degree in Finance, Business Administration or a related field.
• Minimum of 3 + years experience in grant administration, preferably in a research or higher‑education environment.
• Demonstrated knowledge of end‑to‑end grant management processes and related administrative functions.
• Strong communication, organisational, analytical and problem‑solving abilities with keen attention to detail.
• Ability to collaborate effectively with diverse stakeholders while ensuring compliance with governance requirements.
