Associate Producer – Events Management

About the role

The Associate Producer supports the delivery of live and hybrid experiences, managing defined workstreams under the guidance of a senior Producer. This role blends operational rigor with emerging AI tools to boost efficiency and output.

Key responsibilities

• Own specific production workstreams such as registration, food & beverage, signage, talent logistics, content pipelines and run‑sheets.
• Maintain project trackers, vendor lists, procurement logs and provide regular status updates.
• Assist with budget tracking, purchase orders and financial reconciliation under Producer oversight.
• Draft creative briefs, RFPs and vendor comparison documents.
• Support on‑site execution, including crew management, room readiness, speaker preparation, show flow and issue escalation.
• Ensure data hygiene for measurement plans and contribute to post‑event reporting, data pulls and case‑study assets.
• Develop and share AI prompts and workflow templates with the team.

Required profile

• 2–4 years of experience in event production, agency coordination or a closely related field.
• Meticulous attention to detail across documents, budgets and timelines.
• Excellent written communication and comfort interacting with clients.
• Willingness to work non‑standard hours during show weeks.

Required skills

• Daily use of Microsoft 365 Copilot (Teams, Outlook, Word, PowerPoint, Excel).
• Proficiency with AI models such as Claude, ChatGPT and Gemini for research and drafting.
• Ability to build simple automations in Microsoft 365 (Power Automate, SharePoint lists, Forms → Excel flows).
• Working knowledge of production software (Cvent, Monday.com, Smartsheet) and basic design tools (Figma, Canva, Adobe Suite, PowerPoint Designer).
