Purchasing Assistant

About the role

Ventós Group, a global leader in the distribution of essential oils and aroma chemicals for the flavors and fragrances industry, is expanding its Singapore team. We are looking for a proactive Purchasing Assistant to support our procurement activities and ensure smooth collaboration with suppliers and internal departments.

Key responsibilities

• Liaise with suppliers to assist in price negotiations, confirm purchase orders, request and follow up samples, and manage all related documentation.
• Monitor delivery dates, handle complaints, and provide customer service support.
• Maintain accurate records in the ERP system: enter offers, purchase orders, update planned reception dates, and manage supplier information.
• Collaborate closely with the Sales and Purchasing teams at the headquarters.
• Coordinate with Quality Control, Operations, and Export departments to optimise the purchasing process.

Required profile

• B.S. or B.A. degree in Business Management, Industrial Management or a related field.
• 2‑3 years of relevant experience, preferably in B2B environments within the chemical, flavors or fragrances sectors.
• High level of English (spoken and written); Spanish is a plus.
• Knowledge of import/export processes is desirable.
• Strong organisational abilities, motivation, and the capacity to prioritise tasks efficiently.
• Excellent communication skills and the ability to work both independently and as part of a team.

Required skills

• Proficiency with ERP systems for data entry and supplier management.
• Understanding of import and export procedures.
