Fleet, Vehicle Administration and Compliance Executive

About the role

The Fleet, Vehicle Administration and Compliance Executive will oversee the end‑to‑end management of the company’s vehicle fleet, ensuring all vehicles are properly registered, insured, maintained and compliant with Singapore regulations. The role coordinates vehicle acquisition, documentation, inspections, road tax, insurance claims and daily operational support for drivers and workshops.

Key responsibilities

• Coordinate purchase, registration, insurance, road‑tax renewal and disposal of company vehicles and related assets.
• Maintain an up‑to‑date master register covering registration, COE, road‑tax, insurance, inspection, VPC and NEA details.
• Monitor expiry dates for road tax, inspections, insurance and other compliance requirements, preparing monthly renewal lists and liaising with accounts.
• Manage vehicle inspections, arrange workshops, track failed inspections and ensure timely re‑inspection.
• Administer insurance policies, process accident reports, claim submissions and coordinate repairs with authorised workshops.

Required profile

• Experience in fleet management, vehicle administration or transport operations, preferably in Singapore.
• Good knowledge of Singapore vehicle regulatory processes (OneMotoring, LTA, VPC, NEA).
• Strong coordination and organisational abilities to work with drivers, suppliers, insurance companies and government agencies.
• Ability to monitor multiple expiry dates, follow up on renewals and escalations independently.
• Proficient in Microsoft Office and Google Workspace for record‑keeping and reporting.
