Project Administrator – Aluminium & Glazing

About the role

We are seeking a proactive Project Administrator to support our aluminium and glazing projects in Singapore. The role involves handling project documentation, tracking schedules, coordinating materials, and providing general administrative support to the project manager.

Key responsibilities

• Organize and maintain project documentation including quotations, purchase orders, delivery orders, invoices, drawings and contracts.
• Track project schedules, material deliveries and progress plans to ensure timely execution.
• Prepare and submit work orders, delivery orders and site documents as required.
• Communicate regularly with main contractors, suppliers and on‑site teams to resolve issues.
• Coordinate aluminium, glass and hardware materials, following up on deliveries and specifications.
• Arrange and supervise installation teams, schedule deliveries and conduct site measurements.
• Support billing processes by preparing progress claims and invoices.
• File and archive project records, both electronic and hard copies, maintaining an organized system.
• Organize project meetings, record minutes and follow up on action items.
• Assist the project manager with daily administrative tasks such as incident reports, insurance claims and MOM documentation.
