Senior Project Assistant

About the role

The Senior Project Assistant provides high‑level administrative and coordination support throughout the project lifecycle. You will act as a central point of contact for project teams, site personnel, subcontractors and corporate functions, ensuring smooth day‑to‑day operations of the project office.

Key responsibilities

• Support project mobilisation and site office setup, including equipment, access arrangements and onboarding.
• Establish filing structures, trackers, contact lists and reporting templates.
• Provide administrative assistance to Project and Construction Managers, schedule meetings, prepare agendas and record minutes.
• Maintain project documentation, coordinate with Document Controllers and produce weekly/monthly reports and dashboards.
• Track action items, manpower records, onboarding status and site access requirements.
• Assist with visitor management, logistics, office supplies and general site administration.
• Support QA/QC documentation, project audits, inspections and close‑out activities.

Required profile

• Diploma in Business Administration, Project Administration, Office Management, Construction Management or a related field.
• Minimum 8 years of experience in project administration, coordination or site administration within construction, EPC, engineering, semiconductor, pharmaceutical or industrial environments.
• Proven experience in project mobilisation and multi‑disciplinary team support.
• Strong organisational and coordination abilities, able to work independently in a fast‑paced setting.
