Client Experience Executive

About the role

As the first point of contact for clients entering the clinic, the Client Experience Executive ensures every visit feels welcoming, organized and seamless. Reporting to the Clinic Operations Manager, you will work closely with doctors and client relations staff to deliver a premium, doctor‑led health concierge experience.

Key responsibilities

• Greet and check‑in clients, manage waiting‑time communication and create a calm atmosphere.
• Guide clients through the appointment journey, explain next steps and follow up on invoices, reports or booking confirmations.
• Assist doctors with room preparation, basic clinical support and accurate documentation of client records and notes.
• Monitor the day’s appointment flow, flagging delays or conflicts early.
• Maintain consumables and clinical supplies, ensuring client‑facing areas meet premium standards.
• Escalate client complaints, scheduling issues or supply shortages to the Clinic Operations Manager promptly.

Required profile

• 3–5 years of experience in a clinic, healthcare support, front‑desk or hospitality role with direct client‑facing responsibilities.
• Exposure to patient experience or service operations in healthcare, wellness or hospitality is a strong plus.
• Familiarity with clinic workflows, appointment scheduling, client record‑keeping and privacy requirements for personal health information.
• Warm, empathetic, proactive, calm under pressure, detail‑oriented and discreet.
