About the role
The Facilities Specialist provides essential administrative support to the facilities department, ensuring smooth operation of corporate real‑estate assets. You will manage move tools, purchase and work orders, and assist with project set‑ups while maintaining accurate records across multiple systems.
Key responsibilities
- Create and process move tools for new hires, transfers, and relocations.
- Generate purchase orders, work orders, change tickets, invoices and expense reports; track their status.
- Inspect equipment for damage, coordinate repairs and monitor completion.
- Support project managers with meeting, training and special‑event set‑ups.
- Serve as primary or backup contact for assigned facilities tasks.
- Enter and maintain data in maintenance request systems, SharePoint and other facilities platforms.
- Maintain a database of lease information, space capacity, AV equipment and furniture.
- Produce routine reports on space utilization, request fulfillment times and other metrics for management review.
- Identify efficiency opportunities and escalate complex issues as needed.
Required profile
- High School Diploma or equivalent.
- At least two years of relevant office or facilities administration experience.
- Experience with space planning, project coordination or inventory management is preferred.
- Ability to work independently with minimal supervision.
Required skills
- Proficiency in Microsoft Office applications.
- Experience using SharePoint or similar collaboration platforms.
