Recruiting Operations Coordinator (Contractor)

About the role

We are seeking a highly organized Recruiting Operations Coordinator on a contract basis to support our growing hiring efforts across engineering, product, design, operations, and business functions. You will act as the operational hub for hiring managers, recruiting agencies, interviewers, and candidates, ensuring a smooth and professional recruiting experience.

Key responsibilities

• Serve as the primary liaison between Arta hiring managers and external recruiting agencies.
• Facilitate communication on open roles, candidate submissions, interview feedback, and hiring decisions.
• Provide timely updates to agency partners on candidate status and process changes.
• Track agency performance, candidate pipelines, and recruiting activity across active searches.
• Coordinate phone screens, virtual, onsite, and executive interviews across multiple time zones.
• Be present in the office 4‑5 days a week, register candidates with reception, and escort them to interview rooms.
• Resolve scheduling conflicts and last‑minute changes quickly.
• Maintain accurate candidate records and recruiting data in the Ashby ATS.
• Assist with candidate communications, interview invitations, status updates, and offer coordination.
• Support offer logistics, coordinate offer letters for signing, and hand off onboarding to the Office Manager.
• Contribute to ad‑hoc recruiting projects and hiring initiatives as the company scales.

Required profile

• Minimum 3 years of recruiting coordination experience.
• Thrives in fast‑paced environments and can manage multiple priorities simultaneously.
• Highly organized, proactive, and detail‑oriented.
