Sales Admin Executive

About the role

The Sales Admin Executive will support the sales team by managing order processing, maintaining accurate customer and product data, and coordinating with the warehouse and logistics teams to ensure timely deliveries. This position plays a key role in keeping the sales pipeline smooth and the customers satisfied.

Key responsibilities

• Process sales orders based on work orders, ensuring correct pricing and product details.
• Verify customer payment or credit status and obtain credit authorisation when needed.
• Confirm order details with customers and resolve any discrepancies.
• Check stock availability, raise purchase requisitions, and coordinate stock replenishment.
• Set up and maintain data for new customers and suppliers, keeping records up‑to‑date.
• Maintain orderly filing of documents and records.
• Liaise with the warehouse to guarantee timely delivery to customer sites.
• Prepare shipping documents and arrange export shipments where applicable.
• Prepare and submit invoices for timely billing.
• Support the sales team with enquiries and assist in preparing quotations for standard items.
• Handle enquiries via phone or email and participate in internal audits and quarterly stock‑takes.

Required profile

• Minimum 2 years of relevant experience in sales administration or order processing.
• Strong communication and interpersonal skills for dealing with internal and external customers.
• Highly meticulous with a keen eye for detail.
• Ability to work quickly under pressure and meet deadlines.
• Independent self‑starter who can complete tasks on time and also works well as part of a team.
