Executive Assistant – Private Equity Investment Team

About the role

Join an established Singapore‑based private equity firm as a Team Executive Assistant. Reporting to the Office Manager, you will support multiple members of the investment team while also overseeing day‑to‑day office operations and basic IT administration.

Key responsibilities

• Coordinate calendars, schedule meetings, and manage travel logistics for the investment team.
• Process expense submissions, reconcile receipts, and maintain contact databases.
• Prepare presentation materials, briefing notes, and meeting room setups.
• Receive visitors, manage meeting rooms, and handle office supply procurement.
• Liaise with building management for facilities upkeep and parking.
• Arrange courier services and support business continuity planning.
• Troubleshoot office equipment, printers, and meeting‑room systems; coordinate with external IT vendors.
• Set up IT access for new joiners, maintain inventory records, and keep documentation of licences and subscriptions.

Required profile

• At least five years of experience as an Executive Assistant supporting multiple executives in a fast‑paced environment, preferably within private equity, asset management, hedge funds or boutique investment banks.
• Demonstrated ability to anticipate needs, protect executives’ time, and handle confidential information with utmost discretion.
• Polished, articulate, and confident when interacting with internal and external stakeholders.
• Service‑oriented mindset with a proactive, ownership‑driven approach.
