Operations Assistant

About the role

Toll Group, a logistics, transport and supply chain business part of Japan Post, is hiring an Operations Assistant in Singapore. The role covers updating warehouse records, coordinating vehicle movements, handling shipping documents and billing, and supporting ISO audits and regulatory compliance.

Key responsibilities

• Update and maintain WMS records for inbound, outbound, import/export shipments, duty payments and car movements.
• Manage daily inventory records and location plans, and ensure accurate reporting across systems.
• Coordinate transportation, delivery and collection of vehicles, and communicate with customers on orders and events.
• Prepare transaction records, shipping documents, permits and defect reports.
• Liaise with operations controllers to arrange deliveries and confirm customer orders.
• Handle billing, check invoice accuracy and update financial projections monthly.
• Support ISO audits, SOP compliance, toolbox meetings and workplace safety/5S+1 standards.
• Ensure compliance with Singapore customs, LTA and other regulatory requirements.
• Conduct monthly cycle counts, bi-annual stock takes and prepare KPI and customization reports for customers.
• Act as a first aider and provide ad-hoc support to keep team operations running smoothly.

Required profile

• Prior experience in customer service, logistics or operations coordination (automotive experience is a plus).
• Class 3 licence (compulsory).
• Must be entitled to work in Singapore and ready for pre-employment checks including a criminal history check and medical.
• Ability to work independently, manage several tasks and meet deadlines.

Required skills

• Proficiency in MS Office and inventory/WMS systems.
• Knowledge of customs processes and regulatory compliance preferred.
• Strong communication, organization and attention to detail.
