About the role
We are looking for a proactive, detail‑oriented Administration Manager to support the Estates & Development senior management team. The role ensures smooth day‑to‑day operations, handling meeting coordination, records, contracts and internal communications with discretion.
Key responsibilities
- Act as personal assistant to the Director and senior management, scheduling meetings, appointments and engagements.
- Manage calendars proactively to minimise conflicts and optimise senior management’s time.
- Coordinate meeting logistics, including venues, technology setup and preparation of materials.
- Provide end‑to‑end administrative support for the department, processing invoices, issuing staff circulars and updating movement and leave records.
- Prepare, maintain and track tenancy agreements for F&B outlets and staff apartments, monitoring contract expiries.
- Organise departmental events, venue bookings and refreshments.
- Maintain physical and digital filing systems for audit readiness.
- Handle incoming and outgoing correspondence professionally and timely.
- Post notices and updates on internal platforms and coordinate staff engagement activities.
- Oversee office supplies, pantry provisions and photocopier contract management.
Required profile
- Proactive and detail‑oriented with strong organisational abilities.
- Excellent communication skills and ability to interact professionally with internal and external stakeholders.
- Discretion in handling sensitive and confidential information.
- Ability to manage multiple priorities and meet tight deadlines.
