About the role
We are seeking a high‑calibre Executive Assistant to provide comprehensive support to the Head of Global Transaction Services (GTS) for the Southeast Asia (SEA) Cluster and visiting senior executives at HSBC. The role involves managing complex calendars, coordinating travel, preparing confidential documents, and ensuring seamless administrative operations across multiple time zones.
Key responsibilities
- Maintain compliance with HSBC Group policies, procedures and regulatory requirements, escalating issues when necessary.
- Provide end‑to‑end executive support, including proactive prioritisation of requests, correspondence and stakeholder liaison.
- Oversee contract administrative staff, allocating tasks, monitoring delivery and ensuring consistent service quality.
- Manage complex calendars and diaries for senior leaders, scheduling meetings across multiple stakeholders and time zones while resolving conflicts.
- Prepare, quality‑check and format documents, meeting packs and presentations, handling confidential information with discretion.
- Maintain records using approved filing and electronic archiving systems in line with audit and information‑governance standards.
- Coordinate travel arrangements, itineraries and expense claims in accordance with HSBC Travel & Expense policy.
- Support team operations, including office administration, logistics for visiting executives and coordination of team meetings and events.
Required profile
- Demonstrated experience providing executive assistant support to senior leaders in a fast‑paced, matrixed environment.
- Strong planning, organisation and stakeholder‑management abilities with capacity to handle competing priorities and tight deadlines.
- High levels of integrity, discretion and attention to detail, especially when handling confidential information.
- Sound judgement, problem‑solving skills and the ability to work independently while knowing when to escalate.
- Excellent written and verbal communication skills with confidence engaging senior stakeholders and external parties.
Required skills
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Experience with calendar management tools and travel booking platforms.
- Familiarity with electronic document management and archiving systems.
