Executive Officer, Procurement

About the role

The Executive Officer, Procurement will lead the centralized procurement function, ensuring purchase requisitions are processed efficiently and in line with established procedures. Reporting to the Procurement Manager, this role supports the organisation’s commitment to responsible sourcing and cost‑effective purchasing.

Key responsibilities

• Track and report on procurement activities, including split purchases and recurrent orders.
• Consolidate recurrent purchases and negotiate term contracts with user departments.
• Prepare and maintain procurement reports such as expiring contracts, open purchase requisitions, and monthly KPI dashboards.
• Manage system workflow approval strategies and update the approval limit matrix.
• Draft and review RFQs, RFPs, and tenders; source competitive quotes and coordinate supplier queries.
• Arrange product sampling, evaluate supplier proposals, and issue purchase orders.
• Monitor contract and order status, resolve shortages or delivery issues, and follow up on pending actions.
• Assist the manager with monthly reporting, business continuity planning, and procedural updates.

Required profile

• Relevant experience in procurement or purchasing, preferably within a public‑sector or not‑for‑profit environment.
• Strong understanding of procurement processes, contract management, and supplier evaluation.
• Excellent communication skills to liaise with internal users and external suppliers.
• Detail‑oriented with the ability to maintain accurate records and reports.
