Assistant Manager, HR Operations

About the role

The Assistant Manager supports the University’s operations by ensuring the timely and compliant onboarding of staff across all employment schemes, work pass administration and accurate charging of recruitment costs to the appropriate cost centres. As a specialist in work‑pass matters, the role provides subject‑matter expertise to maintain regulatory compliance and smooth onboarding processes.

Key responsibilities

• Manage end‑to‑end pre‑employment and onboarding processes, including Day 1 orientation.
• Prepare and issue onboarding documentation, access requirements and employment materials.
• Verify employment and statutory documents for completeness and compliance.
• Administer work‑pass applications, renewals, issuances and cancellations in line with regulations.
• Provide advice to hiring units, employees and stakeholders on work‑pass and onboarding matters.
• Reconcile work‑pass and pre‑employment billing.
• Drive automation, digitalisation and continuous improvement of onboarding and work‑pass processes.

Required profile

• Degree in Administration or Human Resources.
• Good knowledge of employment‑related regulations and work passes (advantageous).
• Strong interpersonal and communication skills.
• Proven ability to manage high‑volume transactions with accuracy and sound judgement.
• Proficiency in HR systems (e.g., Workday) and Microsoft Office applications (advantageous).
