Purchasing Coordinator

About the role

The Purchasing Coordinator is responsible for managing the end‑to‑end procurement process, ensuring that materials and services are sourced, negotiated, and delivered on time and within budget. This role works closely with internal departments and external suppliers to support project execution and maintain accurate purchasing records.

Key responsibilities

• Execute and monitor all regular purchasing duties, maintaining up‑to‑date records and pricing in the system.
• Prepare reports, summarize data, and conduct competitor surveys.
• Coordinate with departments and suppliers for project‑related purchases.
• Handle and monitor claims to factories and vendors for defects, shortages, or missing parts.
• Support relevant departments with quotations for tenders.
• Ensure on‑time delivery by coordinating with suppliers.
• Prepare and process purchase orders and related documents in accordance with company policies.
• Monitor deliveries to ensure items reach sites or stores promptly.
• Source, select, and negotiate the best purchase packages (quality, price, terms, delivery, service).
• Plan and manage inventory levels of materials or products.
• Identify new parts, suppliers, or subcontractors as needed.
• Handle other procurement‑related tasks assigned by the Manager or HOD.
