Admin Executive

About the role

The Admin Executive provides comprehensive front‑desk and administrative support to ensure smooth daily operations of the office. This role acts as the first point of contact for visitors and handles a wide range of logistical, safety, and procurement tasks.

Key responsibilities

• Greet visitors, manage phone calls, and coordinate mail and courier services.
• Oversee day‑to‑day office premises management, safety, and liaison with property management.
• Arrange meeting logistics, including venue setup, refreshments, and post‑meeting cleanup.
• Manage company travel bookings for flights, hotels, and transportation.
• Procure, distribute, register, and maintain inventory of office supplies and administrative materials.
• Maintain office equipment, furniture, fixed assets, company vehicles, and cleaning services.
• Ensure office safety, hygiene, energy conservation, and emergency supplies.
• Handle document archiving, filing, and coordination with outsourced storage providers.
• Execute departmental budgets, process reimbursements, and analyse expenses.
• Improve administrative policies, procedures, and registers.
• Perform ad‑hoc duties as assigned by the Head of Department.

Required profile

• Bachelor’s degree in Business Studies, Administration or related field (or equivalent).
• Minimum 2 years of relevant administrative experience.
• Excellent time‑management, telephone etiquette, and communication skills.
• Strong ethics, responsibility, and teamwork orientation.
• Fluent in English and Chinese (both spoken and written).
• Singapore Class 3 or 3A driving licence preferred.
