Assistant Manager, HR Operations

About the role

The Assistant Manager supports the University's operations by ensuring timely and compliant onboarding of staff across all employment schemes, work pass administration and accurate charging of recruitment costs to the right cost centres. The role provides subject-matter expertise on work pass matters, supports automation and digitalisation of onboarding, and helps review and improve operational processes, SOPs and service controls.

Key responsibilities

• Manage end-to-end pre-employment and onboarding, including scheduling and running Day 1 orientation
• Prepare and issue onboarding documentation and access requirements
• Verify employment and statutory documents before commencement
• Administer work pass applications, renewals, issuance and cancellations in line with regulations
• Advise hiring units, employees and stakeholders on work pass and onboarding matters
• Reconcile work pass and pre-employment billing
• Drive automation and digitalisation of onboarding and work pass processes, and review SOPs and service controls

Required profile

• Degree in Administration or Human Resources
• Good knowledge of employment-related regulations and work passes is advantageous
• Strong interpersonal and communication skills, able to work with stakeholders at all levels
• Proven ability to manage high-volume transactions accurately

Required skills

• Proficiency in HR systems such as Workday is an advantage
• Microsoft Office proficiency is an advantage
