Commercial Executive – Customer & Contract Management

About the role

The Commercial Executive will act as the primary point of contact for customers, ensuring timely and effective responses to enquiries, preparing quotations, tender documents and invoices, and coordinating with vendors for on‑the‑job parts procurement.

Key responsibilities

• Respond to customer enquiries, prepare quotations, tender documents and invoices.
• Liaise with vendors to procure parts required for ongoing projects.
• Collect, store and analyse commercial information; compile reports and presentations as needed.
• Maintain and update client files and assist in commercial data analysis.
• Prepare, consolidate and verify contract documentation; manage contract variations and dispute resolution.
• Coordinate with internal departments to track project milestones and issue work completion certificates for invoicing.
• Handle billing and invoicing according to payment terms, collaborate with estimation teams on project costing, and follow up on payment collection.
• Engage with customers, legal teams and management on complex payment terms and cost‑impact issues.
• Collect and trend customer feedback to drive continuous improvement.
• Perform any other ad‑hoc duties as required.

Required profile

• Strong customer‑service orientation with the ability to handle enquiries professionally.
• Experience in preparing quotations, tender documents and managing contract paperwork.
• Ability to coordinate cross‑functional teams and track project milestones.
• Proficiency in billing, invoicing and payment‑collection processes.
• Analytical mindset for commercial data collection and reporting.
