Conventions & Events Manager

About the role

Prudential is expanding its team of event specialists and is looking for a Conventions & Events Manager to deliver successful conferences and events for its agency force across Asia and Africa. The role suits an experienced, highly organised and proactive events manager who can stay calm and friendly in challenging situations, and who also provides administrative and operational support to ensure events run smoothly locally and abroad.

Key responsibilities

• Prepare, monitor and manage project budgets, event expenses and deliverables, adhering to internal procurement processes and managing vendor payment timelines
• Work with procurement on sourcing event support vendors and preparing RFPs
• Sourcing and cost-manage event deliverables such as venue, catering, support vendors, gifts, fringe entertainment, design and concepts, working closely with vendors
• Coordinate with local business unit colleagues and external vendors to deliver the event programme and brief business units before the event
• Manage events and recognition collaterals for Group initiatives, including practical gifts for incentive trips

Required profile

• Degree qualification in a related field
• At least 5 years of experience in events planning and organising large-scale conferences and conventions
• Fluent spoken and written English, with excellent communication and interpersonal skills
• Self-motivated, detail-oriented, able to multitask and enjoy hands-on pre-event logistics and on-site execution

Required skills

• Microsoft Office: Word, Excel, PowerPoint, Outlook, Teams
• Advanced Excel skills such as VLOOKUP, pivot tables and macros are a plus for post-event project reconciliation
