Executive Assistant

About the role

Natixis Investment Managers Singapore is looking for a proactive Executive Assistant to support the Chief Executive Officer and ensure the smooth operation of the Singapore office. The role combines high‑level administrative support with office management and occasional project coordination.

Key responsibilities

• Manage the CEO’s calendar, schedule, and travel logistics.
• Organise events, meetings, town‑halls, client functions and executive roadshows.
• Prepare briefing decks, collate information and materials for senior‑level activities.
• Process expense reports, invoicing and other financial admin tasks.
• Oversee day‑to‑day office facilities, including tele‑conference rooms, printers and stationery supplies.
• Coordinate with vendors, hotels and venue providers for meetings and events.
• Support onboarding and off‑boarding of new staff.
• Handle incoming and outgoing couriers and dispatches.

Required profile

• Degree or higher in Business Administration or a related field.
• 10+ years of secretarial or administrative experience supporting senior management, preferably in an international financial services environment.
• Strong interpersonal and communication abilities.
• Ability to work independently and efficiently under pressure.
• Excellent organisational skills and high proficiency in Microsoft Office.
• Fluency in English; additional Asian language is a plus.
