Executive, Purchasing

About the role

Plan and manage all activities that involve sourcing, procurement, services, logistics management, warehouse and inventory to support a global operational footprint across ASEAN, the Middle East, Africa and Australia. The role requires rapid adaptation to new countries as operations expand.

Key responsibilities

• Ensure all purchasing activities comply with corporate governance, company policies, local laws, charterer requirements and industry standards.
• Process requisition forms, evaluate suppliers, negotiate and issue purchase orders within 1‑3 days for urgent requests and 3‑5 days for normal requests.
• Prepare and issue Purchase Orders in SAP, follow up with suppliers for prompt delivery and achieve 100% order processing through SAP.
• Manage freight forwarders, customs clearing agents and last‑mile delivery partners for shipments to vessels or warehouses.
• Record confirmation of goods and services delivered, support accounts payable, and submit Good Receipt documents within 30 days, closing them in SAP within 5 days.
• Maintain accurate purchase records in SAP, ensuring no PO remains held for more than two working days and that every job starts with a complete PO.
• Provide inputs for weekly and monthly reports, including CBH, held PO, open PO and open VIM reports, and achieve cost‑saving targets of at least 5% below the lowest quote.
• Perform Goods Receipt transactions timely and keep open PO/VIM cases under 30 days unless justified.

• Strong organizational and proactive follow‑up skills to manage requisitions, documentation and timelines effectively.
