People & Office Coordinator (Part-Time / Full-Time)

About the role

TEAM LEWIS, a global marketing agency, has moved into its new office at Orchard Gateway and is building its talent bank. It is looking for an organised, proactive person to support HR administration, recruitment, office operations and employee engagement in Singapore. Both part-time (2-3 days per week) and full-time arrangements are open.

Key responsibilities

• Support recruitment for interns, coordinators and other junior roles, including job postings, candidate screening and interview coordination
• Assist with onboarding and offboarding so new joiners have a smooth experience
• Maintain employee records, HR documentation and other administrative tasks
• Coordinate with the regional HR team on day-to-day people matters
• Oversee day-to-day office operations, keeping the workspace organised, well-stocked and running smoothly
• Coordinate with vendors, couriers and building management on supplies, deliveries, maintenance and facilities
• Handle invoices and receipts, schedule items and manage mail
• Help organise employee engagement activities, office celebrations and team events

Required profile

• Some experience in HR administration, recruitment coordination, office administration or a similar role
• Naturally organised, proactive and able to manage several tasks independently
• Friendly and approachable, enjoying working with people
• Creative and enthusiastic about bringing people together through engagement activities
• Strong communication and coordination skills with good attention to detail
• Practical and solutions-focused, willing to help wherever needed
