Purchasing Assistant – Procurement & Logistics

About the role

We are looking for a detail‑oriented Purchasing Assistant to support our procurement and logistics operations across Singapore. The role involves handling purchase requisitions, managing purchase orders, and coordinating shipments to ensure timely delivery for our marine projects.

Key responsibilities

• Review purchase requisitions, obtain quotations from approved vendors and create comparison sheets for new and long‑list items.
• Support price and terms negotiations to achieve cost savings.
• Generate and issue purchase orders, ensuring accuracy and alignment with quotations.
• Track delivery status, follow up on overdue items and confirm schedules with suppliers.
• Coordinate Letter of Credit (LC) shipments, work with freight forwarders for customs clearance and delivery.
• Handle inbound and outbound logistics, obtain shipping documents, request freight quotations and liaise with forwarders.
• Match delivery orders with purchase orders, verify invoices and update costing sheets.
• Process invoices for payment after verification.
• Maintain daily communication with suppliers and monitor email correspondence.
• Prepare monthly purchasing summary reports and present updates at company meetings.
• Maintain audit‑ready records of incoming goods for marine and new hull projects.
• Collaborate with requestors, store personnel and finance to align purchasing activities with project timelines.
• Provide ad‑hoc administrative support as required.

Required profile

• Strong attention to detail and ability to follow up on delivery schedules.
• Effective communication with suppliers and internal teams.
• Proactive approach to monitoring emails and handling documentation.

Required skills

• Knowledge of Incoterms.
• Experience handling Letter of Credit (LC) shipments.
