Senior Executive, Faculty Ops and Support

About the role

The School of Chemistry, Chemical Engineering and Biotechnology at NTU is looking for a motivated Senior Executive to support faculty operations and administration. You will work closely with the Assistant Manager to ensure efficient delivery of secretarial, recruitment, appointment and development services.

Key responsibilities

• Provide executive and secretarial support to the Associate Chair, including procurement, travel arrangements and document handling.
• Manage committee logistics: room booking, agenda preparation, minute‑taking and follow‑up actions.
• Support faculty recruitment, appointment, re‑appointment and promotion processes, including scheduling interviews, travel, and dossier preparation.
• Liaise with internal departments (Finance, HR, Research Office) and external vendors to resolve administrative and compliance matters.
• Maintain accurate records, prepare reports, presentations and internal communications, and assist digitalisation initiatives.

Required profile

• Bachelor’s degree in Business Administration, Education, Human Resources or related field.
• At least 2 years of administrative experience, preferably in higher education or research‑intensive environments.
• Strong organisational abilities, calm under pressure and capable of handling competing priorities.
• Excellent written and verbal communication skills and ability to work both independently and as part of a team.
