About the role
As an Administrative Assistant at MIJ Hub, you will ensure the smooth running of daily operations while supporting a collaborative team across administration, operations, finance, enrolment, and facilities. This role offers exposure to multiple functions in a fast‑paced, mission‑driven environment.
Key responsibilities
- Provide day‑to‑day administrative and operational support, maintaining accurate records and timely follow‑up.
- Handle first‑line enquiries via calls, WhatsApp, email, and walk‑ins, delivering correct information and routing requests.
- Support enrolment administration: process forms, collect documents, schedule appointments, enter data, and update trackers.
- Prepare and manage finance‑related documents, issue invoices/receipts, follow up on payments, and maintain finance trackers.
- Log facilities issues, coordinate maintenance, repairs, and replenishment for the centre’s spaces.
- Track office and operational inventory, prepare purchase requests, receive supplies, and update stock records.
- Assist with event preparation and execution, handling registrations, logistics, material preparation, venue setup, and post‑event administration.
- Maintain compliance files, update checklists, and ensure documentation is current.
Required profile
- Organised and proactive with a strong desire to create structure and efficiency.
- Excellent communication skills for handling enquiries and internal coordination.
- Detail‑oriented and able to manage multiple tasks simultaneously.
