About the role
The Administrative Executive supports Pacific Flight Services (PFS) by ensuring smooth day‑to‑day operations through finance coordination, staff claims handling, billing support, facilities upkeep, and general administrative duties. The role works closely with finance, sales, pilots, and facilities teams to maintain compliance with company policies.
Key responsibilities
- Process invoices, expense reports, ePRs and billing documentation, maintaining accurate finance tracking logs.
- Assist the sales team with billing requests, preparing and verifying documentation for Finance.
- Support pilots and contract staff with claims, allowances, P‑card transactions and expense processing.
- Maintain fixed‑asset registers, coordinate annual asset verification, and liaise with IT and Security on asset matters.
- Coordinate facilities maintenance, raise service tickets, and monitor vendor work to meet service standards.
- Provide onboarding and offboarding support, manage security and airport access passes, and maintain administrative records.
- Handle ad‑hoc administrative tasks as required.
Required profile
- Proven experience in administrative and finance coordination within an operational environment.
- Ability to work with multiple internal stakeholders, including finance, sales, pilots and facilities teams.
- Strong attention to detail for accurate record‑keeping and compliance.
- Excellent organizational skills to manage multiple concurrent tasks.
