Legal Secretary – International Arbitration

About the role
We are seeking an experienced legal secretary to join our litigation and international arbitration practice in Singapore. The role provides partner‑level administrative support, client file management, billing coordination, diary and travel arrangements, and document production.
Key responsibilities
- Assist partners with matters and ad‑hoc tasks.
- Manage calendars, schedule meetings and coordinate appointments.
- Answer and filter telephone calls, liaise with internal and external clients.
- Handle incoming and outgoing correspondence, including email and mail processing.
- Photocopy, scan, print and maintain paper and electronic files, including trial bundles and archiving.
- Maintain electronic client files, indexing, and manage off‑site archive collections.
- Prioritise workload to meet agreed deadlines.
- Manage Excel spreadsheets, input data, generate reports and support billing administration.
- Process disbursement bills, third‑party invoices, expense claims and cheque requisitions.
- Support e‑litigation filing, track hearing dates and conduct cause‑book searches.
- Provide receptionist cover and run errands as required.
Required profile
- Experience providing legal secretarial support to partners and fee earners.
- Strong organisational and prioritisation abilities.
- Ability to work collaboratively within a high‑performing team.
