Operations Admin Executive – Construction & Engineering

About the role

We are seeking an Operations Admin Executive to support our construction and engineering projects. The role involves handling invoicing, billing, equipment inspections and general administrative tasks to ensure smooth operations.

Key responsibilities

• Prepare invoices, progress claims and Statements of Account (SOA).
• Monitor outstanding invoices and follow up with customers on payments.
• Arrange PE testing and equipment inspections, manage scheduling and documentation.
• Follow up on test reports, certificates and any required rectifications.
• Prepare purchase orders, delivery orders and other operational documents.
• Coordinate with customers, PEs, vendors and internal operations teams.
• Update project, billing and equipment records in the ERP system.
• Provide general administrative support to the Operations department.

Required profile

• Minimum Nitec, Higher Nitec or Diploma in any discipline.
• 1–3 years of experience in operations, project administration or billing.
• Proven experience handling invoices, SOA and payment follow‑up.
• Experience arranging PE testing, equipment or statutory inspections is preferred.
• Background in construction, engineering, machinery, equipment rental or M&E sectors is advantageous.
