Operations Admin Executive

About the role

We are looking for an Operations Admin Executive to support the smooth delivery and after‑sales processes of our equipment. The role involves coordinating transport, handling documentation and providing frontline customer service.

Key responsibilities

• Coordinate transport arrangements and monitor delivery schedules to ensure timely equipment deployment.
• Liaise with customers, site personnel and internal teams regarding site clearance and required documentation.
• Handle customer enquiries via email, phone and messaging platforms, delivering prompt and professional support.
• Prepare and process sales orders, delivery orders, commercial and proforma invoices, packing lists and other required documents.
• Manage export documentation, maintaining complete and accurate records.
• Maintain up‑to‑date equipment certifications and filing systems.
• Perform data entry and keep accurate sales and operational records.
• Provide general administrative and coordination support to the Sales Department.

Required profile

• Minimum 2 years’ experience in logistics, planning, customer service or sales support.
• Strong coordination, communication and organisational abilities.
• Detail‑oriented, responsible and able to work independently.
• Willingness to respond to urgent calls after office hours.
• Ability to manage multiple tasks in a fast‑paced environment.

Required skills

• Proficiency in Microsoft Office.
