About the role
The Personal Assistant supports the Executive Director & COO in a fast‑paced environment, handling high‑level secretarial duties, schedule management, and day‑to‑day office operations. The role requires proactive judgment, confidentiality, and the ability to anticipate executive needs.
Key responsibilities
- Manage a complex calendar, prioritize inquiries, and resolve scheduling conflicts with minimal guidance.
- Prepare expense reports, draft confidential correspondence, and coordinate detailed travel itineraries.
- Organise internal and external meetings, handle logistics, prepare agendas, and ensure smooth venue setup.
- Welcome guests with professionalism and oversee general office upkeep and tidiness.
- Host visits for local and overseas delegates and undertake ad‑hoc projects as assigned.
Required profile
- Minimum diploma qualification.
- At least 5 years of experience supporting senior executives.
- Prior experience in a group or conglomerate environment is preferred.
- High degree of discretion, ability to work under pressure, and flexibility to work outside standard hours when needed.
Required skills
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication for professional correspondence.
- Strong organisational skills and ability to anticipate needs.
