Personal Assistant to Founder (Multi‑Brand Operations)

About the role

We are seeking a dynamic Personal Assistant to support Paul Quinn, Founder & Managing Director of Westport Partners, across three fast‑growing brands. The role offers a unique board‑level view of executive search, coaching platforms and a podcast, providing extensive exposure to APAC, Middle East and European operations.

Key responsibilities

• Manage full calendar, inbox and priority tasks for Westport Partners, Quinntessential Coaching and Quinntessential Questions.
• Prepare meeting materials, follow‑ups and keep the Founder ahead of his schedule.
• Plan and coordinate travel logistics across APAC, the Middle East and Europe.
• Act as first point of contact and gatekeeper, protecting the Founder’s time.
• Track deliverables for executive‑search mandates, coaching launches and podcast production, maintaining a board‑level overview of deadlines and dependencies.
• Liaise with coaches, candidates, clients and partners on behalf of the Founder.
• Prepare documents, conduct light research and assemble materials for meetings and pitches.
• Edit and publish content on Instagram, LinkedIn and YouTube, turning raw footage into polished reels, carousels and short‑form videos.
• Maintain the content calendar, ensure brand consistency and manage posting schedules.

Required profile

• Highly organised, proactive and able to thrive in a fast‑paced, multi‑brand environment.
• Excellent written and verbal communication skills.
• Strong attention to detail and ability to manage competing priorities.
• Willingness to work long, diligent hours and adapt to changing demands.

Required skills

• Proficiency with Adobe Premiere Pro, including multi‑cam editing, colour correction, audio cleanup, captioning and export for various platforms.
