About the role
The Administrative Coordinator will support the day‑to‑day operations of the CEO Office, ensuring that meetings, travel, and logistics run smoothly. Reporting to a Project Manager, the role is hands‑on, execution‑focused and requires close interaction with senior stakeholders.
Key responsibilities
- Provide administrative and logistical support before, during, and after board and executive meetings.
- Coordinate meeting logistics, including room setup, IT and lighting checks, printed materials, seating, and on‑site coordination.
- Track meeting outcomes, document action items, and follow up on next steps.
- Facilitate communication between the CEO Office and internal teams, sharing information promptly.
- Work with colleagues and external vendors to arrange schedules, transport, and meeting arrangements.
- Support ongoing initiatives by tracking timelines and organizing information.
- Handle ad‑hoc, time‑sensitive requests related to senior leadership engagements.
Required profile
- Significant experience in an administrative or executive support role, preferably supporting senior leadership.
- Strong organizational and project coordination abilities with capacity to manage multiple priorities.
- Excellent communication and interpersonal skills, confident engaging with senior executives.
- High level of discretion and integrity when handling confidential information.
- Ability to work independently, exercise judgment, and take initiative.
Required skills
- Proficiency in Microsoft Office Suite and collaboration tools.
