Assistant Manager – Teaching Facilities (West)

About the role

The Assistant Manager, West will oversee graduate course enrolment and the allocation of common teaching facilities across multiple colleges and schools. This role ensures smooth, fair, and efficient processes that support the university’s academic operations and student experience.

Key responsibilities

• Plan and execute graduate course timetabling and enrolment, coordinating with colleges, schools and administrative departments.
• Communicate enrolment schedules, maintain registration records, and safeguard the integrity of the course registration system.
• Allocate and manage bookings for common teaching facilities, ensuring equitable sharing and optimal utilisation.
• Liaise with stakeholders to evaluate special booking requests and resolve related issues.
• Support system development for the new Student Management System, including business specifications, user stories, test cases and cross‑team coordination.
• Explore and implement automation technologies such as RPA, AI and data visualisation to improve operational efficiency.
• Coordinate process enhancements and system improvements with colleges, schools and internal teams.

Required profile

• Bachelor’s degree from a recognised university.
• Minimum 3 years of experience in academic administration or student services within tertiary education.
• Proven ability to manage complex operational processes involving multiple stakeholders.
• Strong analytical, organisational and problem‑solving abilities.
• Excellent interpersonal and communication skills, with a collaborative mindset.

Required skills

• Experience with student information or course registration systems.
• Knowledge of data querying and data visualisation.
• Familiarity with automation tools, including RPA and AI.
