- Arrange domestic and international travel, including itineraries, bookings, visas and related documentation.
- Coordinate internal and external meetings, including agendas, meeting rooms, virtual links, attendee communications, minutes and follow-ups.
- Prepare and submit expense claims, track reimbursable expenses and follow up on invoices and payments.
- Draft and edit correspondence, reports, presentations, meeting materials and other documents.
- Act as the communication link between the Chief of HRO, department members, internal teams and external stakeholders.
- Maintain confidential records and support operations such as onboarding, team events, data collation and venue bookings.
- Provide cross-support to the C-Suite as required.
Required profile
- At least 5 years of experience as a team coordinator, executive assistant, personal assistant, operations coordinator or in a similar role.
- Proven ability to handle last-minute requests and prioritise competing assignments.
- Strong organisational and time-management skills, and strong written and verbal communication skills with senior stakeholders.
- Sound judgment and discretion with confidential information; able to work independently with limited supervision.
- Good to have: experience supporting an executive or leadership team, coordinating cross-functional projects, preparing presentations and reports, or familiarity with travel, expense, procurement or invoice processes.
Required skills
- Calendar and travel management, including a high volume of complex travel.
- Microsoft Office or Google Workspace.
What we offer
- Term life insurance and comprehensive medical insurance.
- Parental and birthday leave, plus volunteering leave.
- A confidential assistance programme for Grabbers and their loved ones.
