Job description
About the role
PayPal is hiring an Executive Assistant to provide high-level administrative and operational support to the VP, Corporate Development and the VP, Cross Border Trade, working across regions and time zones. The role handles complex calendars, coordinates global meetings and travel and tracks expenses. It supports two Vice Presidents who interact frequently with the C-suite, Legal, Finance, Strategy and international business units.
Key responsibilities
- Manage complex, changing calendars for multiple executives across global time zones, prioritising competing requests and resolving conflicts with minimal direction.
- Coordinate domestic and international meetings, offsites, board-related sessions and deal-team meetings, including virtual meetings across the Americas, EMEA and APAC.
- Arrange complex international travel, including multi-city itineraries, visas, passports, local logistics, ground transportation and contingency plans, in line with corporate travel policy.
- Handle highly confidential information such as M&A pipelines, deal documents, valuation materials and board materials with complete discretion, following information barriers, project code names, data-room access protocols and MNPI handling procedures in partnership with Legal and Compliance.
- Perform general administrative duties such as expense reports, purchase orders, vendor invoices, distribution lists and supplies.
- Act as a delegate for the executives when reviewing and approving expense reports, and help reconcile foreign currency and international expenses.
- Proactively identify opportunities to improve efficiency and anticipate the needs of the executives and team.
- Be flexible to support early-morning or late-evening meetings to accommodate global time zones and critical deal timelines.
Required profile
- 3+ years of relevant experience supporting senior executives, preferably in Corporate Development, M&A, Finance, Legal or a similarly confidential environment.
- Ability to handle MNPI or highly sensitive information with discretion.
- Bachelor's degree or equivalent experience.
Preferred qualifications
- Experience supporting executives in a global or multinational organisation.
- Advanced skills in Microsoft Office (Outlook, Excel, PowerPoint, Word), SharePoint and Teams.
- Experience with expense and travel platforms such as Concur.
The role is based in Central Singapore. PayPal offers a balanced hybrid model with 3 days in the office and 2 days at the office or home, and benefits including paid time off and healthcare coverage for you and your family.
