About the role
The client is a venture‑backed, growth‑stage life sciences organisation operating internationally. They are seeking a hands‑on Executive Assistant / Office Manager to support senior leadership and manage day‑to‑day administrative and operational activities.
Key responsibilities
- Provide high‑level executive support, including complex calendar management across multiple time zones.
- Coordinate leadership, board and external stakeholder meetings, handling agendas, logistics, follow‑ups and action tracking.
- Manage travel arrangements, expense reporting, documentation, approvals and signature routing.
- Oversee general business operations such as vendor coordination, contracts administration, purchase orders, invoice routing and approval workflows.
- Maintain organised records of key documents, contracts and administrative files.
- Support hiring and onboarding logistics, including interview scheduling and new‑joiner coordination.
- Assist with office and facilities coordination, including supplies, vendors and local operational matters.
- Handle confidential information with a high level of discretion and perform ad‑hoc duties as assigned.
Required profile
- Minimum 5 years of experience in executive support, office management or operations.
- Proven experience supporting senior executives or leadership teams.
- Comfortable working with international stakeholders across different time zones.
- Strong organisational, prioritisation and attention‑to‑detail abilities.
- Ability to manage multiple stakeholders and shifting priorities in a fast‑paced environment.
- High level of professionalism, judgment and confidentiality.
Required skills
- Proficiency in Microsoft Office and/or Google Workspace.
- Experience with video conferencing tools.
- Familiarity with shared document platforms.
