Executive Assistant for Fast‑Growing E‑commerce Jewelry Brand

About the role

We are seeking an experienced Executive Assistant to support the founder and leadership team of a rapidly expanding e‑commerce jewelry brand. The role blends executive administration, recruiting coordination, and operational support to keep the business running smoothly.

Key responsibilities

• Provide day‑to‑day executive support, handling admin, coordination, follow‑ups and operational tasks.
• Maintain flexible coverage and stay responsive throughout the week, including split‑shift schedules.
• Own recurring administrative work that currently consumes leadership time.
• Support recruiting and HR processes: job posting, interview scheduling, candidate tracking and hiring follow‑ups.
• Organise workflows, trackers, SOPs and documentation into a single source of truth.
• Coordinate urgent ad‑hoc issues and ensure next steps are executed.
• Prepare and maintain documents, spreadsheets, task boards and operational trackers.
• Assist with lightweight customer experience, operations and internal team coordination as needed.
• Identify gaps, missed follow‑ups or bottlenecks before they become larger problems.

Required profile

• Proven experience in high‑trust support roles such as Executive Assistant, Founder’s Assistant, Operations Assistant, HR or Recruiting Coordinator.
• Demonstrated ability to support founders, executives or fast‑moving teams.
• Strong availability, reliability and communication, with willingness to work a 7‑day schedule.
