Executive Secretary – Marketing & Client Services

About the role

The role provides high‑level secretarial and administrative support to the Chief Marketing Officer, the Client Services team and the Business Development division of a leading financial services firm. You will ensure smooth day‑to‑day operations, manage documentation, and act as a liaison between internal teams and external clients.

Key responsibilities

• Prepare and circulate documents such as IMAs, account profiles, presentation materials and client letters.
• Draft replies, compile monthly management reports and ad‑hoc client reports.
• Maintain client data records, filing systems for proposals, minutes and correspondence.
• Update the Operations Manual for compliance, conduct AML/PEP checks and support audit requests.
• Assist with operational risk assessments and track required documentation.
• Arrange travel, process pre‑ and post‑trip claims, and manage other business‑related expenses.
• Print, bind and set up presentations, organise meetings and support division events.

Required profile

• Diploma or degree in Business Administration, Banking & Finance or a related field.
• Minimum 3 years of secretarial experience, preferably in the financial industry.
• Strong written and spoken communication, discretion with confidential information and ability to work independently.
• Excellent organisational, time‑management and coordination skills.
