Legal Assistant / Associate (IP Support)

About the role

We are looking for a proactive Legal Assistant / Associate to provide comprehensive administrative support to our Intellectual Property (IP) team. You will play a key role in ensuring smooth day‑to‑day operations of trademark and patent matters while maintaining high standards of accuracy and confidentiality.

Key responsibilities

• Provide general legal administrative support, including invoicing, internal filing, matter tracking, document execution and organisation.
• Support IP docketing by recording and monitoring procedural deadlines, renewal dates and response due dates across trademark and patent portfolios.
• Assist with official filings, managing application processes, preparing forms, collating evidence and coordinating submissions with external counsel and IP offices.
• Maintain accurate trackers, portfolio records and status reports.
• Liaise with internal stakeholders, external counsel and IP offices on routine matters and follow‑ups.
• Gradually take on first‑cut analysis and review of routine substantive IP matters under supervision.
• Perform other related tasks as assigned.

Required profile

• Minimum of 3 years of relevant experience.
• Prior exposure to IP matters (trademarks, patents) in a law firm or in‑house setting.
• Comfortable with process‑driven, repetitive administrative workflows and reliable execution.
• Strong deadline management, multitasking ability and capacity to work in a fast‑paced environment.
• Highly ethical, discreet and able to maintain confidentiality.
• Meticulous, organized and committed to delivering high‑quality work.
• Excellent communication and interpersonal skills.
