Retail Administrative Executive

About the role

The Retail Administrative Executive supports both store and head‑office functions for a lifestyle retail brand. You will handle HR administration, attendance tracking, procurement, inventory control and POS processing to keep daily operations running smoothly.

Key responsibilities

• Maintain accurate employee records, track attendance, leaves and claims, and provide data for payroll and compliance.
• Coordinate overtime and labour‑cost data to support cost management.
• Oversee store and back‑office operations, including supplies, facility maintenance, contract renewals and utilities.
• Manage vendor relationships for office supplies, security, housekeeping and other services.
• Process invoices, purchase orders, product inventory updates and store supply orders.
• Arrange courier services, track shipments and liaise with warehouses to ensure timely deliveries.
• Handle POS transactions, invoice processing, payments and claims.
• Update internal systems with product and inventory data and maintain accurate filing of invoices and purchase records.
• Produce reports on sales, stock levels, purchases and administrative activities.
• Support ad‑hoc projects such as marketing assistance and store enhancement initiatives.

Required profile

• Bachelor’s degree or Diploma in Business Administration, Human Resources or a related field.
• 1‑2 years of HR and administrative experience, preferably in retail.
• Strong interpersonal and communication skills for interaction with staff and vendors.
• Ability to multitask, work under pressure and meet operational deadlines.
• Detail‑oriented with solid organisational abilities.
• Proactive, solution‑oriented mindset.

Required skills

• Proficiency in Microsoft Office, including pivot tables, formulas and dashboard creation.
